This video is one of a series that covers working with checks and direct
deposits in payroll. This particular video specifically covers understanding
checks and direct deposit advices in the peoplesoft tables. This video will give
you a basic understanding of what is involved with working with checks and
direct deposit devices in peoplesoft. At the end of this topic you will be able
to explain from what tables the check advice print information originates,
understand how reported hours can vary and display on a paycheck. The payroll
check print pay zero zero three report is a sample format for printing checks.
After you run pay confirmation, use the print paychecks page to run the report
for that pay run. First we'll view the pay group table pages and the employee
options one and two pages. These pages contain the information to be produced
on a check or advice form. The printed information on the check comes from the
pay group table pages. The check distribution and the check sequencing
pages specifically. Printed information on the check
also comes from the employee
payroll options one and two pages. Use those pages to control the sorting and
sequencing of your employee paychecks and to specify which address to print on
the check. During the confirmation process, the system sorts the checks
according to the options that you have selected on the pay group table and the
payroll options pages and assigns check numbers. The check print and direct
deposit advice print reports are sample formats for printing checks and advise
forms respectively. The information included in these reports is as follows:
pay group and pay period information; the employees residential, address, job
details and personal tax information; current period earnings taxes and
deduction amounts; year-to-date balances for non concurrent earnings taxes or
deductions with subtotals; federal taxable gross details and finally pay
distributions between checks and direct deposits.
On the paycheck stub, the check print process prints different descriptive
information for garnishment deductions depending on whether monies are deducted.
If money is deducted, garnishment tax levy appears. When no money is deducted
garn01 tax levy appears. Note that the check print SQR process suppresses
the current hours and rate information from printing when you distribute
salaried employees standard hours to earning codes other than the regular
earnings code defined in the pay group table. Next we will review the different
report run options in the print check and print advice pages in PeopleSoft. In
the print paychecks page, you have two options from which to print on cycle and
off cycle. If you specify only a pay run ID the system selects checks from that
run ID and that are based on a payroll cycle of only on cycle, off cycle or both.
If you specify a pay run ID and the check range, the system selects only the
checks that are in the check number range and based on a payroll cycle of
only on cycle, off cycle or both. In the off cycle pay calendar if you use this
group box, you must enter company, pay group and pay end date. Available fields
and completed tasks depend on which option you select in the payroll cycle
group box. For on cycle - the page number fields are unavailable for entry.
The system selects only the on cycle checks for the company in the pay group and the
pay end date that you specify. If you specify a check number range, the system
selects only those checks. For off cycle, the page number fields are available for
entry. The system selects only the off cycle checks for the company and pay
group with the pay end date that you specify. If you specify it the page
number range, the system selects all checks in that page range. If you specify
a check number range, the system selects only those checks. For the both option,
the page number fields are available for entry. The system selects both off cycle
and on cycle checks for the company and pay group with the pay end date that
you specify. If you specify the page range, the system selects all checks on
that page range. If you specify a check number range the system selects only
those checks. Lastly the print advice forms page runs
on the same options discussed in the print checks page. If an employee chooses
not to receive their advice form, you can suppress the printing option. On the
request direct deposit page, select the suppress DDP advice print option. The
advice form for that employee will not print. You have now successfully reviewed
the available options in working with checks and direct deposits in payroll.
You should now be able to explain from what tables the check advice print
information originates and understand how reported hours can vary and display
on a paycheck. For additional information about PeopleSoft and the ctclink
