hello and welcome to the myCRM Transaction tutorial. The transactions
feature ties together the property owner and lead by showing you the relevant
dates who was involved, who made commission and even which documents were
required. Transactions saves you time as now you have a central source for all of
your data viewable and downloadable to your computer and on your smartphone. I
first need to make you aware of six essential rules that govern how
Transactions works. Anyone in admin level access can see and edit anything and
everything. Number two anybody with Manager or Agent level
access will not be allowed to see the things that do not belong to them until
permission is granted. Number three only the creator of the transaction or a
member of staff with admin access can edit it. Number four before creating a
transaction ensure that all of the relevant documents are uploaded already
into the property the owner and the lead. Number five for the early days of this
feature no transaction will be able to be deleted instead if you wish to do
this you will need to select "closed lost". Number six recorded transactions are not
shared with any third party including the property finder transaction gateway
my CRM transactions has been designed to allow any sale or rental scenario and in
this video we will demonstrate how to do it from the property, the lead or indeed
the new transaction screen itself. Before that let me share a few definitions. When
I say User I mean you the person logged in operating myCRM. Property
means the apartment, villa, office etc. that you are selling or renting. Owner or
seller is the person or people who own the property that you are selling or
renting. Lead or tenant is the person who is buying or renting the property in
question. Now let's create a transaction from the property itself. Before if a
property is sold or rented you would change the status to just that whereas
now you notice you cannot do it. Instead you simply need to click on the new tab
called transactions next to where documents would go, click on "add
transaction" and just follow the steps. If you don't know the dates yet please put
when you'd expect these things to happen. You'll notice that the owner is already
pre-populated and as we mentioned earlier if you are an admin or if you
have permission to see the owner you will see that owners information is
there if you do not have permission to see the owner you will instead see a
button asking you to obtain permission to do so click on that button and the
user who is responsible for that owner will be sent a notification to grant you
the ability to see it. The same permission scenario arises when you link
a buyer. If it is your buyer or you are an admin then great, no permission is
required. If it is not your buyer or tenant then you seek permission through
myCRM as before when adding a price you can also add the downpayment deposit
using a percentage value or an amount. Step 3 will let you add detail the
commission payments again via percentage or amount. Upon saving you will see that
the transaction is stored now in the history of that listing it will also be
in the corresponding section within the transaction menu for future
reference. This is just the beginning, now the transaction is there you can click
on it and it will expand downwards showing you the basic tale components if
you click on the arrow it will take you through two transactions where you can
add some "meat on the bones" so to speak, however, before we do that
let's start the same procedure again but from the lead section instead. You go to
the leads menu and find the person who is buying or renting the property then
you ensure the property you wish to transact upon is shortlisted. Select that
property then click on the Add button. The only difference now is that you will
already have the details of the property the owner and the lead populated. However,
if you do not have permission to view any of these you will need first to
request permission from the person who does. Of course we could just start the
whole thing from the new transaction screen as ever to create anything new on
my CRM you need to click on the big red Add button from the transactional screen
you are starting from scratch so you'll need to head to the bottom of the page
and add the property and the tenant or buyer the owner will be also filled
based on the property that you choose if we had carried on from the property page
or the lead page would be at the same point as we are now at the top of the
screen you see the negotiated price this is how much the sellers agreed to sell
for next to it is gross price which is how much the buyer actually has to spend
including commissions and later local fees commissions is the next tab first
you tell the system who is paying Commission how much they are paying then
you tell the system who the Commission is being paid to in the Commission split
section for example 50% of the Commission is coming to me from the
seller as it is my seller and the buyer as it is my buyer if the buyer was
controlled by my colleague then it would be just as easy to add my colleague in
there instead from here you can actually add as many contributors as you want for
example your colleague introduces the buyer to you you could give them a
kickback of timber and in the notes section you can record
any important information that you would like to remember for this transaction
particularly the documents tab cleverly ties together all of the documents from
property owner and lead which ties is back into rule number four before
creating a transaction ensure that all the relevant documents are uploaded
already to the property the owner and the lead without getting too technical
when creating a new transaction it would take a snapshot of everything as it was
exactly at the point of creation if you now revisited the owner for example and
add a new document to it this document will not appear in the transaction to
reiterate rule 4 is very important you will notice that each section has each
document under it and an empty pin icon if you would like this document to be
part of this transaction simply click on the pin and the system will recognize it
officially finally when you are ready to and only when you are ready please mark
the transaction as won or lost once you do this you will no longer be able to
modify the transaction and will only be able to view it for the time being
transactions will not be able to be deleted as ever please feel free to
